Here at Training Qualifications UK, we like to make sure you’re kept aware of all the most important goings-on in the world of End-Point Assessment. With that in mind, this week we provide information about changes to our processes relating to Mapping and Tracking documents and the use of Verve EPA.

Moving forwards, using our Mapping and Tracking (M&T) documents and submitting all evidence and documents to Verve EPA will be a mandatory requirement. We will no longer access external e-portfolios.

Submitting everything through Verve EPA lessens the risk of:

  • incorrect evidence being accessed,
  • exposure of evidence, work or personal information that our End-Point Assessors should not see, and
  • evidence being missed or not located.

Using our Mapping and Tracking documents allows for the correct number of evidence items to be submitted (where these are capped) and creates a smoother and more timely assessment at EPA.

To help our Assessors identify the location of evidence quickly, you must let us know where the evidence is on a recording or in a document. If you are dealing with a recording, you should let us know the timestamp that the evidence occurs on. If it is a written document, you should let us know the page and paragraph.

This process change helps us create a fair and consistent assessment for all Apprentices and guarantee that the grade outcome awarded is reflective of the work presented.

The change will come into effect from Wednesday 1st September 2021 for all centres.

As previously communicated, on the 10th September 2020, the IfATE published an amended version of the Assessment Plan for the Level 3 Business Administrator standard, version 1.0 ST0070/AP03. 

The new Assessment Plan (Ref AP03) can be found on the IfATE website here.

Support materials are live on Verve EPA. Updated Process training will be facilitated and dates will be offered to applicable centres over the next few weeks. In the meantime, TQUK has recorded a short overview of the changes within this Assessment Plan update which you can access via Verve EPA. To do this, follow the below process:

  • Click Support Material
  • Click view
  • Click standard
  • Click Business Administrator (version 2)

Verve EPA  now supports two concurrent standards, reflecting each assessment plan version:

  • Business Administrator (Legacy)
  • Business Administrator (New version 1.0 Ref AP03) 

Registrations – What you need to know!

With immediate effect, any new registrations made with TQUK must be on the Business Administrator (new V1.0 Ref AP03) Standard.

This updated version (V1.0 Ref AP03) applies to all Apprentices who started their Apprenticeship programme on or after 10th September 2020. 

Please note: all Apprentices currently registered with TQUK on VERVE that have a start date of on or after 10th September 2020 will automatically be transferred to this new version of the assessment plan on the 12th January 2022, unless we are notified of an exceptional circumstance before this date.

Exceptional Circumstances

Any Gateway submissions from the 12th January 2022 must be under the new version of the Assessment Plan (V1.0 Ref AP03).

If you have an exceptional circumstance you wish to be considered for an Apprentice to remain on the Legacy standard after the 12th January 2022, please submit this request as soon as possible to epasupport@tquk.org, with your reasons for this. 

Exceptional circumstances for Apprentices to remain on the Legacy standard after the 12th January 2022 will be considered based upon the Apprentice start date and registration dates. All exceptional circumstances will be reviewed on a case-by-case basis and must be submitted and approved by TQUK by Friday 17th December 2021.

Question and Answers 

Question:   Which assessment plan will my Apprentice be assessed against?

Answer: If your Apprentice commenced with their apprenticeship programme before 10th September 2020, they will be assessed against the Legacy assessment plan if they progress through Gateway before 12th January 2022. 

If your Apprentice commenced with their apprenticeship programme on or after 10th September 2020 they will automatically be registered or transferred to the New version of the assessment plan, V1.0 Ref AP03 against which they will be assessed. 

Question: My Apprentice started their apprenticeship programme before 10th September 2020, can they opt to be assessed against the New version of the assessment plan, V1.0 Ref AP03?

Answer: All Apprentices registered against the Legacy version of the assessment plan are now able to be transferred to the New version of the assessment plan (V1.0 Ref AP03) by simply using the Change of Circumstance process on Verve EPA. 

Question: My Apprentice has prepared their Portfolio of Evidence and Project Presentation in line with the legacy assessment plan. Does this mean they must redo their evidence in line with the new version? 

Answer: No, the previous version assessed the same KSBs in both components, therefore the only change will be what the Apprentice selects to be assessed in either the Portfolio Interview or the Project Presentation with Q&A, rather than both which was expected in the previous version. Please do ensure your Apprentice is registered against the correct version of the plan on Verve EPA to avoid any confusion or delay.

To confirm, whilst there has been a version change to the Assessment Plan, there has been no change to the Standard, should an Apprentice prefer to be assessed against the New version. They will not be disadvantaged in changing their assessment plan version, we simply request that our Centres update their Registration in Verve EPA.

Question– Will this change alter the fee TQUK charges for this standard?

Answer– No. The funding band allocation remains the same and upon review of the new assessment plan, we feel comfortable that we do not need to alter our EPA fee. Please visit our website for a full breakdown of costs for this standard

With that in mind, this week we provide information about Year-End Preparations, Gateway Requirement Support Documents, Appeal Timeframes, a change to HR qualifications, Controlled Environment requirements, the Business Administrator standard and a version change on Customer Service Specialist.

Year-End Preparations – Important Reminder!

The end of the academic year is fast approaching, and we’re preparing for it by reviewing our pipeline data on Verve EPA.

As per our previous communication, estimated EPA dates are vitally important to allow TQUK to forecast effectively, but more critically to enable planning and ensure sufficient resourcing availability for allocations is in place. This in turn will support all Apprentices to conduct their End-Point Assessment in a timely manner.

Therefore,  it is important that the information entered on our Verve EPA System is accurate, including all estimated EPA dates. 

As we plan and work towards supporting our Centres, we ask that all Providers review the EPA dates given on Verve EPA to ensure they are up to date and accurate. For internal planning, we again ask for this activity to be reviewed and for all Training Providers to ensure that Verve is up to date by Friday 4th June.

Gateway Requirement Support Documents

To support our Centres with standard-specific Gateway requirements that must be achieved for your Apprentices to successfully progress through Gateway, we have produced new Gateway Requirement Support Documents. 

These newly-produced Gateway documents have been written to support our Centres to sufficiently prepare for all Gateway requirements and will be Live to view and download on our Verve EPA Suite by Thursday 27th May

Appeal Timeframe – Reminder 

On Monday 1st March we altered our approach and timeframe for any submitted appeals. The time frame to submit your intention to appeal is now two weeks from the date of End-Point Assessment results being issued. 

Please note, If we do not receive any requests or intent to appeal in this time period, Training Qualifications UK will proceed to ESFA claiming. Should an intent to appeal request be submitted within a two-week window, TQUK will permit an additional two weeks for a completed Appeal Form to be submitted.

HR Qualification Change 

As per the latest update from IfATE, please be advised that any new HR Level 5 Apprentices who start their Apprenticeship from the 1st June 2021, must be registered on the new Level 5 Associate Diploma in People Management.

The current HR standard for both level 3 and level 5 are under review. We are committed to releasing further information to all Providers once additional information from the trailblazer group has been released, this is not expected until at least 22nd June 2021. 

Controlled Environment Requirements 

All Training Providers, Employers and End-Point Assessors working on behalf of Training Qualifications UK are asked to adhere to our controlled environment conditions in order to ensure assessments are conducted with the assurance of their validity and fairness to Apprentices. Controlled environments are required for applicable assessments, regardless of their delivery method, and this includes both face-to-face on-site assessments and those conducted remotely. 

We would like to offer a reminder of the importance of exam conditions and controlled environments for all End-Point Assessments. To further support our Centres, we kindly ask that you please refer to our Controlled Environment Guidance Document,  detailing the set requirements. This document is Live and can be viewed or downloaded on our Verve EPA System. 

Business Administrator 

An update has been applied to the Project Presentation Apprentice Brief, removing the disclaimer. Furthermore, the following details have now been included:

  • Additional information around the question and answer aspect of the assessment.
  • A Contingency Planning section to provide guidance around short-term cancellations.
  • A resit/retake section to provide additional support and guidance.

The disclaimer that previously sat within the Apprentice Brief has been isolated as a separate document now found in Verve EPA, as a Project Summary and Disclaimer document. This resource can also be used to provide a summary of the project undertaken by the Apprentice pre-gateway where a formal written report is not submitted.

Customer Service Specialist Version change

As per a recent communication, we have performed a review of the assessment materials relating to the Customer Service Specialist Standard, and we are pleased to announce that new versions of all the assessment materials are now available on Verve EPA.

This version change is accompanied by a Summary of Change, which outlines all the changes that have been implemented. These alterations are primarily focused on additional support and guidance for the Apprentice and do not alter the process of assessment or requirements of the Apprentice. However, there is now the addition of a Project Scope Template and Checklist which is to be completed and submitted at Gateway. As of Tuesday 1st June, this will be required at gateway submission. This is designed to support the review and approval of the Work Based Project scope by the appointed End-Point Assessor, post-Gateway.

Paediatric First Aid Certificate – Self Verifying Tool

We are aware of the difficulties around the guidance for verifying Paediatric First Aid Certificates for the Early Years Educator Standard.

We have approached the EQA for further guidance, and are currently following the requirements of the Assessment plan.

To support you to prepare your Apprentices for the necessary Paediatric First Aid Gateway requirements, please see our PFA Self Verifying Guidance Tool.

Due to the impact COVID-19 has had on many regulated providers, we strongly advise that you use the tool and ensure that all Paediatric First Aid certificates are valid, ahead of submitting your Apprentices through Gateway.

We have also updated our Early Years Educator Gateway requirement document, and created a standalone Paediatric First Aid support document. These support documents are live on our Verve EPA Suite.

Verve  EPA System update – Important redesign 

As per our latest communication, our Verve EPA suite is undergoing an update.

The changes are focused mainly on the Assessment Progress screen and are being implemented to support stronger visibility of the Apprentice journey.

To support with these updates, please see our Verve EPA summary of change document. The updates will be live as of 26th April.

Functional Skills – Functional Skills Temporary Exemption Form 

We have made a small amendment to our Functional Skills Temporary Exemption Form that is now available to use at Gateway until 31st May 2021.

The updated version is available on Verve EPA and requests a signature from all parties. We kindly ask that this document is used at Gateway moving forward.
